ADM-200 structures admissions into clear, trackable stages so nothing falls through the cracks at term opening or mid-year.

Inquiry Registration

Record the parent's enquiry — preferred grade, entry date, and contact details. The system assigns a unique inquiry reference number and logs the date. Inquiries appear on the registrar's dashboard for follow-up.

Application Form Completion

Issue a customisable digital (or printable) application form. Collect all required documents: birth certificate, health card, previous school report/transfer letter, and parent ID. The system flags any missing documents with a red indicator.

Assessment & Placement Decision

Record entry assessment scores, interview notes, and the placement committee's decision. Mark the application as Approved, Waitlisted, or Declined with a reason. Declined applications are retained for record-keeping.

Acceptance Letter & Fee Payment

Generate a formal acceptance letter with the school's letterhead, accepted grade, subject combination, and registration fee amount. Once the registration fee is recorded (via FIN-500), the application advances to final placement.

Class Placement & Profile Creation

Assign the learner to a specific class stream (e.g., 3B, Form 2 Arts). The system automatically creates a full SIM-100 student profile, assigns an admission number, and makes the learner visible to their class teacher.

Customisable Application Forms

Tailor application forms for each level — ECD forms collect different data from Form 5 A-Level forms. Add or remove fields without any coding knowledge.

Document Checklist Management

Configure a per-grade document checklist. The system prevents placement to a class until all mandatory documents are marked received, ensuring compliance with Ministry requirements.

Waiting List Management

When a class reaches maximum capacity, new applicants go onto a waiting list ranked by application date. If a place opens, the next applicant is automatically flagged for contact.

Automated Acceptance Letters

One-click generation of professional acceptance letters and offer-of-place notices. Letters include the school's logo, term start date, uniform requirements, and fees summary.

Subject Combination Selection

For Form 1, Form 5, and entry to specialist programmes, the admission form presents available ZIMSEC and Cambridge subject combinations. Student selections are saved directly to their SIM-100 profile.

Bulk Term-Start Enrolment

At the start of a new term, re-enrol all returning students in a single operation. Bulk progression moves all Grade 2 students to Grade 3, all Form 1 students to Form 2, and so on.

ECD Through Form 6 Coverage

Admission requirements differ significantly between school levels. ADM-200 has separate configurations for each stage of the Zimbabwean education system.

Early Childhood Development (ECD A & B)

Handling Transfer Students

Inter-school transfers are common in Zimbabwe. ADM-200 handles both incoming and outgoing transfers cleanly and generates the required Ministry documentation.

Incoming Transfers

Record the previous school's EMIS number, transfer letter reference, and outstanding fees status. Map the student to the correct class based on academic records.

Transfer Letters Out

Generate official school transfer letters for departing students with one click. Letters include academic progress summary, fees clearance status, and signature fields.

Academic Continuity

Attach scanned copies of the student's most recent report card to their transfer record, ensuring their class teacher at the new school can calibrate expectations from day one.
